Quotation
The Quotation in DIGITZ ERP is a formal sales proposal issued to customers based on their enquiry or direct request. It presents the proposed items or services, pricing, and commercial terms required for customer decision-making.
Quotations can be created manually or referenced from an Enquiry. Since the enquiry captures raw text inputs (not item master–based entries), DIGITZ ERP establishes only a reference link between the Enquiry and the Quotation. Users then prepare structured itemised details within the quotation as needed.
This ensures proper traceability throughout the sales flow while allowing quotations to be prepared professionally using item master data or refined manual descriptions.

1. Created Manually or With Reference to Enquiry
- Quotations can be prepared manually or created with reference to an Enquiry.
- When referenced from an enquiry, only a link is carried forward because enquiry details are raw text.
- Users can refine or formalise items using item master or manual item descriptions.
2. Detailed Item & Pricing Structure
- Allows item master selection or manual descriptive entry.
- Supports quantity, pricing, discounting, and tax calculations.
- Helps present a structured and professional pricing proposal.
3. Flexible Conversion Options
A quotation may be converted into:
- Sales Order – standard confirmation process.
- Delivery Note – skipping Sales Order.
- Sales Invoice – skipping both Sales Order and Delivery Note for direct billing.
This supports real-world scenarios like urgent dispatch, direct sales, or immediate invoicing.
4. Status Tracking: Converted / Lost
DIGITZ ERP tracks quotation outcomes only through:
- Converted – if it results in any next document (Sales Order, Delivery Note, Sales Invoice).
- Lost – if the quotation is not converted.
This keeps conversion tracking clean and aligned with actual sales performance.
5. Traceability Across Sales Flow
- Backward linkage to the Enquiry, if applicable.
- Forward linkage to Sales Order, Delivery Note, or Sales Invoice.
- Quotation is fully visible in the Sales Flow for real-time tracking.
6. Integration With Sales Flow
- Quotations appear with status insights in the Sales Flow page.
- Helps users monitor quotation progress and pending follow-ups.
- Supports a streamlined view of the entire sales chain.
Quotation Analysis (Future Enhancement)
DIGITZ ERP plans to introduce a Quotation Analysis feature that will provide insights into quotation performance and customer behaviour. This enhancement aims to help organisations evaluate the effectiveness of their quoting process and identify improvement areas.
This future enhancement is expected to include:
- Quotation success ratio
- Customer-wise conversion trends
- Lost quotation reasons
- Average turnaround time
