Sales Order

The Sales Order in DIGITZ ERP represents the customer’s confirmed acceptance of the quotation or their direct purchase request. It serves as the formal commitment from the customer and becomes the central document that governs delivery and subsequent billing activities.

A Sales Order can be created from a Quotation or manually entered. When created from a quotation, all relevant details are carried forward, ensuring seamless flow and eliminating the need for repeated data entry. The Sales Order is one of the most important documents in the selling cycle, providing clarity on confirmed quantities, prices, and delivery expectations.


Key Features

1. Created From Quotation or Manually

  • Sales Orders may be generated directly from a Quotation with all item and pricing details copied forward.
  • Alternatively, they can be created manually for direct sales without quotation.
  • Ensures flexibility in handling different sales scenarios.

2. Controls Delivery and Billing

  • The Sales Order defines agreed quantities, prices, and delivery terms.
  • Used as the base document for generating Delivery Notes and Sales Invoices.
  • Ensures consistency in fulfilment and invoicing.

3. Conversion to Downstream Documents

A Sales Order can be converted into:

  • Delivery Note – initiating the physical dispatch of goods.
  • Sales Invoice – raising the bill directly, with or without delivery.

This enables traditional flows (SO → DN → SI) as well as flexible flows like SO → SI or direct invoicing.

4. Status Tracking

  • Tracks progress such as To Deliver, To Bill, or Completed.
  • Helps teams identify pending deliveries or billing requirements.
  • Provides real-time visibility of order fulfilment status.

5. Traceability Across Sales Flow

  • Maintains backward linkage to the Quotation.
  • Forward linkage to Delivery Notes and Sales Invoices created from it.
  • Ensures complete document flow visibility from confirmation to fulfilment.

6. Integration With Sales Flow

  • Sales Orders appear in the Sales Flow page for consolidated tracking.
  • Users can quickly identify order status, pending actions, and flow progression.
  • Supports seamless navigation across the sales lifecycle.

Stock Reservation (Future Enhancement)

DIGITZ ERP plans to introduce Stock Reservation functionality at the Sales Order level. This enhancement will allow businesses to reserve inventory for confirmed orders and prevent it from being allocated to other transactions. The feature is expected to include:

  • Item-level stock locking for confirmed orders
  • Prevention of over-allocation
  • Better planning for fulfilment
  • Improved coordination between sales and warehouse teams

This enhancement will further strengthen order accuracy and stock availability management.
