Enquiry

The Enquiry is the first document in the Selling Flow of DIGITZ ERP, used to record raw incoming enquiries from customers in their original form. It is designed to capture the customer’s request exactly as communicated—whether through email, phone, or message—without requiring item selection from the Item Master.

This allows organisations to record enquiries using the customer’s own terminology, descriptions, or product references. Users can input the enquiry details either at the header level or in the line items table, depending on the complexity of the customer’s request.

Once reviewed, the enquiry can be converted into a Quotation, and the system maintains full traceability of the enquiry throughout the entire sales process.

1. Manual Entry of Customer Language

  • All text is manually typed exactly as received from the customer.
  • No dependency on predefined items or product codes.
  • Preserves original terminology, descriptions, and context.

2. Flexible Input Structure

  • Header-Level Entry:
    For simple enquiries or brief requests.
  • Line Item Entry:
    For enquiries containing multiple items or detailed specifications with manually typed descriptions.

3. Conversion to Quotation

  • Enquiries can be directly converted into Quotations.
  • Users can refine or formalise items when preparing the quotation.
  • The system maintains linkage between Enquiry → Quotation for complete traceability.

4. Enquiry Status Tracking

  • Track enquiry stages such as Open, Quoted, Converted, Closed.
  • Helps monitor pending and follow-up requirements.
  • Enables clear visibility of converted vs. non-converted enquiries.

5. Visibility in Sales Flow

  • Enquiries appear in the Sales Flow page, providing a consolidated view of the full selling process.
  • This helps users monitor all active enquiries alongside quotations, orders, and invoices.
  • Supports quick navigation and tracking within the overall workflow.

6. End-to-End Traceability

  • Every document created from an enquiry links back to the original source.
  • Ensures backward tracking for audits, review, and sales performance analysis.
  • Helps maintain a clean and traceable sales conversion pipeline.
