Timesheet Entry (Labour Tracking)

Overview

Timesheet Entry in DIGITZ ERP is used to record the actual labour hours spent on a project. Labour is a major cost component in project execution, and accurate tracking of manpower usage ensures precise calculation of labour cost and its contribution to the overall project expenditure.

Every timesheet entry is directly linked to a Project, allowing the system to allocate labour cost to the project’s Labour Budget and update actual cost in real time.

Purpose

To capture labour hours worked by employees against specific projects, ensuring the correct allocation of labour cost, progress tracking, and continuous monitoring of labour budget consumption.


Key Features

Project-Linked Timesheets

Each timesheet must be linked to a project and captures:

  • Employee
  • Date of work
  • Task / activity performed
  • Number of hours worked
  • Descriptions or remarks

This ensures full transparency and traceability of labour utilisation.


Automatic Labour Cost Allocation

DIGITZ ERP automatically calculates labour cost using:

  • Employee hourly rate
  • Role-based labour rate
  • Or default system-defined rate

The calculated labour cost is:

  • Added to the project’s Labour Actuals
  • Compared against the Labour Budget
  • Reflected in project profitability

Budget Validation During Timesheet Submission

When submitting timesheets:

  • System checks if Labour Budget has sufficient remaining balance.

If not:

  • Warning mode: allows the entry but alerts the user.
  • Blocking mode: prevents submission until budget is increased or revised.

This prevents overspending on labour operations.


Execution & Productivity Tracking

Timesheets help track:

  • Work progress
  • Labour distribution across tasks
  • Resource utilisation efficiency
  • Employee productivity

This ensures accurate reporting for internal control and project planning.


Integration with Expense & Payroll (Optional)

Depending on configuration:

  • Timesheet data may contribute to payroll processing.
  • Labour cost can be included in operational cost structures.

All timesheet submissions automatically appear in:

  • Projectwise Labour Report
  • Budget vs Actual Report
  • Project Profitability Report
  • Project Progress Reports

This provides complete transparency over labour utilisation and cost impact.
